Most team managers order custom kits the wrong way. They email a few suppliers, compare prices, and pick whoever responds first. It rarely ends well.

Slow deliveries, wrong sizes, colours that drift between the proof and the finished product — these are not random bad luck. They come from a rushed process.

We manufacture custom sports uniforms from Sialkot, Pakistan. We have produced kits for 6,800+ teams, clubs, and academies across the USA, UK, UAE, Europe, Australia, and Canada. Partners like Port United, USA Netball, Antara Jiu Jitsu, Eagles, and Inspire Netball Group have trusted us with their kit production. This guide walks you through the full process from inside the factory.

Step 1 — Build Your Brief Before You Contact Anyone

A quote without a proper brief is a guess. Every supplier you contact will give you a different number — and none of them will be accurate.Lock down these five things before you reach out to anyone.

Sport, Garment Type, and Kit Regulations

Know what you are ordering. A rugby jersey is built differently to a basketball jersey. Some sports have strict governing body rules. Check FIFA Equipment Regulations for soccer, World Rugby Law 4 for rugby, and IBJJF Competition Rules for BJJ gis. Ordering without checking can produce a kit that looks fine but fails on match day.

Quantity Plus a Spare Buffer

Count every player and every position variant. Then add 10–15% on top. Mid-season replacements and sizing errors happen. Topping up after production is always more expensive per unit than building a buffer in from the start.

Actual Size Data — Not Guesses

Measure every squad member. Get chest width, body length, and sleeve length for each person. Do not estimate. Guessing sizes on a 25-jersey run creates pieces that cannot be worn. That means reprints, delays, and extra cost.

Design Files and Brand Assets

You need club colours in Pantone codes. Logos must be in vector format — Adobe Illustrator (.AI) or EPS. JPEG and PNG files from social media are not suitable for production. If that is all you have, get a vector recreation done first. It costs around $50–$150 and saves far more than that in rework later.

Your Real Deadline

Work back from your first game, competition, or kit launch. Do not work forward from when you start shopping. Give yourself 10–12 weeks from brief to kit in hand. Any less than eight weeks is a real risk.

Step 2 — Choose the Right Fabric and Print Method

This decision determines whether your kit holds up for a full season or falls apart in six weeks.

Sublimation Polyester — The Recommended Default

Sublimation dye bonds directly into the fabric fibres. It cannot crack, peel, or fade. Full-colour gradients, complex crest designs, and sponsor logos all reproduce cleanly.

In our production runs at Fitmanpro, we use sublimation-grade polyester at 150–180gsm for match jerseys. Training kits and heavier garments use 180–240gsm. Contact sports need the heavier weight for abrasion resistance.

Polyester-Elastane Performance Blends

Some sports need stretch and compression. BJJ rashguards, MMA shorts, basketball kits, and netball uniforms all benefit from 85/15 or 88/12 polyester-elastane blends. We produce this construction from our MOQ of 12 pieces per design.

What GSM Means in Practice

GSM is grams per square metre — the fabric weight. Higher GSM is not always better. It means heavier. Soccer and 7v7 kits suit lighter fabric at 150–170gsm for speed. Combat sports and contact kits suit heavier fabric at 220–280gsm for durability.

What to Avoid

Do not use cotton or cotton-poly blends for match kits. Cotton holds moisture, becomes heavy during play, and loses shape over a season. If a supplier recommends cotton for a match jersey with no clear reason, push back.

Our fabrics are sourced from OEKO-TEX certified suppliers. Every fabric we use is independently tested and verified free from harmful substances.

Step 3 — Understand MOQ and What Drives Your Cost

MOQ is the minimum number of units a manufacturer will produce per design. Know it upfront or you will face budget surprises later.

Our MOQ at Fitmanpro is 12 pieces per design. That covers all categories — soccer, rugby, basketball, netball, BJJ, MMA, 7v7, and karting. Many manufacturers require 30, 50, or more. That matters if you are outfitting a small team or placing a pilot order.

What drives your price per unit:

  • Quantity: Prices drop between 12 and 50 units, and again between 50 and 100+. Ask for a tiered price list before you commit.
  • Method: Sublimation printing costs less than embroidery or tackle-twill at most team quantities.
  • Fabric: Higher GSM and polyester-elastane blends cost more than standard sublimation polyester.
  • Design complexity: A two-colour design costs less to produce than a full-bleed print with multiple sponsor logos.
  • Add-ons: Player names, squad numbers, and special finishes are costed separately. They are not in the base price.

Always ask for itemised quotes. A single total with no breakdown is a warning sign.

Step 4 — Submit Your Design (Free Design Service Included)

If you have vector files, Pantone codes, and a clear brief, most manufacturers return a proof in three to five business days.

If you do not have vector artwork, you have two choices. Commission a designer to recreate your logo before placing the order. Or work with a manufacturer that includes design support at no extra cost.

At Fitmanpro, our design service is free with every order. Our in-house team builds a full proof from your colour references, logo files, and design direction. No design fee is ever charged. Whether you are ordering custom soccer uniforms, custom rugby uniforms, custom basketball uniforms, or custom netball uniforms, include your brief at the point of enquiry to speed up proofing.

Step 5 — Review Your Digital Proof Carefully

Your digital proof shows exactly what your kit will look like before a single piece of fabric is cut. Do not approve it too quickly.

Check every detail: colour accuracy against your Pantone references, logo size and placement, player name and number fonts, sleeve and collar details, and sponsor logo positions. Share it with your club committee and kit sponsor before signing off. Changes at proof stage cost nothing. Changes during production cost money and time.

One firm rule: confirm your Pantone code in writing before you approve. Monitors display colour differently. Production colour is matched to the Pantone reference, not your screen.

Step 6 — Understand Your Production Timeline

Our standard production time is 4 to 6 weeks from proof approval to dispatch. Orders with zip construction take 6 to 8 weeks.

Here is how the full timeline breaks down:

StageTypical Duration
Design proofing including revision rounds5–7 business days
Production — standard quantity, sublimation4–6 weeks
Orders with zip construction6–8 weeks
Air freight (international)3–7 days
Sea freight (international)14–28 days
Recommended planning buffer5–7 business days

Plan for 10–12 weeks from initial brief to kit in hand. That gives you room for proof revisions, public holidays, and shipping delays.

Rush production is possible in some cases. Contact us to discuss. Rush production shortens manufacturing time — it does not shorten freight time.

Step 7 — Inspect Your Delivery Before Distributing to Players

Check pieces from each size before handing them out. Do not just open the top of the box.

Verify colour consistency across sizes, stitching quality at seams and collar joins, print alignment across panels, and player names and numbers against your roster.

If anything does not match the approved proof, photograph it within 48 hours and report to your manufacturer. Confirm their defect and replacement policy in writing before you approve the proof — not after delivery.

We ship to the USA, UK, UAE, Europe, Australia, Canada, and worldwide. Every order ships with full tracking. We also give 1% of our profit to green initiatives as part of our commitment to sustainability.

What to Check for Each Sport

Rugby Union and Rugby League

Rugby kits need heavier construction, reinforced shoulder seams, and optional grip panels on sleeves and collar. Check World Rugby Law 4 for competition compliance before ordering. Our custom rugby uniforms are built to contact-level durability standards in every run.

Soccer and Football

Use lightweight sublimation polyester at 150–170gsm. Check kit colour regulations under FIFA Equipment Regulations before finalising colours for regulated league play. We produce custom soccer uniforms for academies and clubs across the USA, UK, and Europe. MOQ starts at 12 pieces per design.

Basketball and Netball

Use polyester-elastane blends for stretch and compression. Reversible jersey options are available — common in netball where position bibs are worn over the playing top. We produce custom basketball uniforms and custom netball uniforms for teams in the USA, UK, Australia, and Canada.

7v7 Football

Confirm kit regulations with your league before finalising the design — 7v7 rules vary by competition. Lighter sublimation polyester is standard. See our custom 7v7 football uniforms page for design and construction options.

BJJ Gis and MMA Gear

Competition gis must meet IBJJF Competition Rules on GSM, weave type, and collar construction. We produce compliant gis from 12 pieces per design. See our custom BJJ gi page for full specification detail. For MMA shorts and rashguards, see our custom MMA gear page.

Karting Suits

Karting suits are a separate category. They require specific flame-retardant lining and construction standards. See our custom karting suits page for full details before making an enquiry.

How to Tell a Real Manufacturer From a Reseller

The custom sportswear market is full of suppliers that are not manufacturers. Many are resellers placing orders with third-party factories at a markup. You lose control of quality, communication, and timelines when that happens.

Ask these questions before you commit:

  • Do you manufacture in-house, or do you subcontract production?
  • Can you give me fabric weight and composition specs in writing before I order?
  • What is your revision policy on digital proofs?
  • What is your defect and replacement policy?
  • Can you show me examples of previous orders in my sport?

Green flags from a real manufacturer: they give you GSM specs without being asked; they describe their production process in specific terms; their timeline commitments are broken down by stage; their pricing scales logically with quantity.

Fitmanpro manufactures from Sialkot, Pakistan. We work directly with teams, clubs, academies, and private label brands. No middlemen. Our partners include Port United, USA Netball, Antara Jiu Jitsu, Eagles, and Inspire Netball Group. Learn more about how we work.

Mistakes That Cost Teams Money

  • Ordering too late. August and January production slots fill fast. Eight weeks is the minimum safe buffer.
  • Estimating sizes instead of measuring. Guessed sizing means reprints and delays at a higher per-unit cost than the original run.
  • Providing low-resolution logo files. JPEGs from a website degrade in production. Get vector files before you order.
  • Approving proofs without Pantone codes confirmed. Screen colour is not production colour. Always confirm Pantone references in writing first.
  • Choosing the cheapest quote. The lowest price almost always means lower fabric quality, less quality control, or a slower response when problems occur.
